How to Organize Your Calendar for 2025

As a Sports Mom, organization is key to success when managing it all!

The start of a new year is the perfect time to get your calendar in order, especially if you’re juggling practices, games, and family life. A well-organized schedule helps you balance your commitments, ensure your athletes are prepared, and reduce stress. Whether you prefer a physical planner or a digital calendar, here are detailed steps to help you make 2025 your most productive year as a sports mom.

1. Choose the Right Planning Tool(s)

Before diving into planning, select a calendar system that works for you. Consider the following options:

  • Digital Calendars: You can use the well known Google, Microsoft, and Apple Calendar…however, I recently discovered ORGO, which is an app created and developed for Sports Parents. So far, I love the functionality. A separate blog post coming soon on this app!
  • Physical Planners: Daily/Weekly planners, sports-specific journals, or wall calendars work well if you enjoy writing things down to keep track of all the daily/weekly/annual commitments.
  • Hybrid Systems: Combine digital tools for flexibility and a physical planner for daily focus. I use a digital calendar so that both my husband and I have constant access to it. I use two forms of physical planners: a weekly calendar that hangs in my kitchen and a large wall calendar (Big A** Calendar) that I keep in my office so that I can plan and visibly see everything taking place in the year as well.

2. Start with Annual Goals

Define your priorities for 2025. What do you want to accomplish for your family, your athlete’s sports journey, and yourself? Break down these goals into actionable steps and assign them to specific months.

3. Mark Recurring Events

Input recurring commitments like sports seasons, for example: soccer (month - month), basketball (month - month). Next include team practices (season by season if they change), etc. This creates a framework for your year.

4. Highlight Major Dates

Add significant events and deadlines to your calendar early:

  • Tournament weekends
  • Game schedule
  • Family vacations (outside of sports travel)
  • Registration deadlines for leagues or camps

6. Plan Daily Routines
Structure your day to balance sports responsibilities and personal time. Consider dividing your day into blocks for:

  1. Before they get up: Exercise, meal prep, and priority tasks
  2. Day: Normal daily work/activities 
  3. After School: Homework, practices, games, and family dinners (most likely on the fly but meal prep is a game changer)


7. Use Color Coding
Visual organization makes it easier to identify tasks at a glance. Assign colors to different categories or family members depending on the planning tool. ORGO has color coded family members to differentiate who has what and where. The Big A** Calendar has different color post its for different categories to use however it makes sense for you. For example: I use red for tournaments, blue for vacation, green for appointments, etc.

REMINDERS:

**Review and Adjust Monthly**
At the end of each month, review your calendar to:
- Adjust for upcoming changes in sports schedules
- Realign with your family’s goals

**Celebrate Milestones**
Don’t just plan for the grind—schedule time to celebrate achievements, whether it’s a championship win or your child’s personal growth on the field. Recognizing progress keeps everyone motivated.

**Make It a Habit**
Set aside a regular time each week to update your calendar. Sunday evenings or Monday mornings work well for planning the week ahead.

By taking the time to thoughtfully organize your calendar, you’ll set yourself up for a smoother, more productive, and more intentional 2025 as a sports mom. From cheering on the sidelines to managing the chaos, you’ve got this!
